According to the ‘ICT Security Policy Ministry of Health’ document (Dasar Keselamatan ICT KKM - DKICT KKM) dated February 13, 2013, each application should be designed with the function of enforcing the session idle timeout: when no user activity for a certain period of time, the session will be terminated. Users must log in again after the idle timeout. Recommendations for the timeout period is 15 minutes. Determining idle timeout period is under the responsibility of the system administrator ICT facilities.

i. Inpatient - Patient's visit is no longer active. Patient already discharged ii. Outpatient - Prescription done using 'Inpatient Visit' & the visit is no longer active. That is why prescription cannot be seen iii. Inpatient/Outpatient - Expired prescription, end date of the prescription has passed

Forms that are available in the system does not necessarily have to be the same as the existing form of the guidelines because the existing form is based on the user environment before. Therefore, certain parts of the forms have been dropped because it is incompatible with PhIS application environment after discussion with the module owner.

Access to modules / menu contained in the system is dependent on user roles that have been granted by the system administrator of the facility based on the duties of a member. The discussion needs to be done with the system administrator and requires the approval of the head of the unit for any additional modules / menu outside the scope.

i. Drug/ Non-Drug that is set as ‘Non-Standard’ in facility. User to proceed with ‘Requisition Order’ for Non-Standard Item. ii. Drug that is set as ‘Ward/ Unit Stock’ in Unit Catalogue List. If drug is set as ‘Ward/ Unit Stock = YES’ the drug will be replenished by supplying unit. No indent needed by unit/ward.

Advise user to check password and the entered username. Verify with the user are the caps lock button is pressed, user can enter the username and password in note pad to counter check before entering into the system. Refer to the system administrator to check the expiry date of the password. Administrator needs to reset the password if the password has expired. User needs to login with a default password “phis123”. Once password has been reset user may proceed to change to a new password.

For T&C activities, representatives of the IT Unit (IT JKN / IT Hospital) are required to participate. If there is no IT unit, the officer appointed to IT administrators is required to participate.

Testing & Commissioning (T&C) forms needs to be confirmed by the IT Unit / IT Coordinator and Officer appointed by PLSB. A certificate of acknowledgement of receipt (SAP) will be completed and reviewed after the T&C hardware activity has been implemented and it needs confirmation from the user (Appendix 1) and subsequently must be approved by the Head of Unit and Asset Officer or IT Officer.

Who will supply the toner cartridges, imaging units, ribbon and label for PhIS printer?
Answer
Toner and Imaging unit are for laser jet printer while the label and ribbon are for Thermal Printer. These are consumable items and should be purchased by the facility.
