PhIS Data Master
Data master is considered to play a key role in the core operation of a system. Hence, data master preparation must be carried out efficiently. Data preparation is a pre-processing step in which data from one or more sources is cleaned and transformed to improve its quality prior to its use in a system. The goal of data preparation is to ensure that data is consistent and high quality.
In PhIS & CPS system, preparing of data has been conducted by Ministry of Health (MOH HQ) and facilities to provide data for each site respectively. It involves the rationalisation and validation of the data to make sure data is formatted consistently and that the data will be understood once removed from its source. It can involve for example, like changing the formats of dates, or deleting duplicate fields.

Ministry of Health has created and also maintained a master data to ensure that all data used in all MOH facility are standardised. Master data consists of:

Data Preparation in facility
The activities were carried out months before the actual implementation process. The project team at first had a workshop with Liaison Officers (LO) from all the respective states to brief about the exercise that needed to commence at the facility level. The LO was taught on how to prepare data needed to ensure implementations of Go Live run successfully. A succession of the workshop was done with the users to ensure templates are filled correctly and appropriately in accordance with physical processes.
a) Item mapping - Items of drug and non-drug from master data list with PhIS CPS coding were mapped with facility items. This will ensure historical data from the facility will be carried forward into the new system. During this exercise, the user is able to inform project team items which are still with no code attached.
b) Templates - of Data needed for migrations are prepared; data consist of item master list of the facility, unit catalogues for all units and user information to register. Patient information will also be migrated from any existing system or manually entered into the template to lessen the burden of registering patients once PhIS CPS has gone live.
